Agency operations analytics platforms can track dozens of metrics. A handful actually predict business outcomes; the rest are mostly noise.

Metrics Worth Tracking

• Submission-to-interview ratio: a leading indicator of recruiter sourcing quality, visible weeks before a placement closes.
• Time-to-fill by role type: segmented by role category, not averaged across everything — averages hide which role types are actually slow.
• Fall-off rate by stage: where candidates drop out of the pipeline reveals whether the problem is sourcing, screening, or client-side delay.
• Fee realization rate: placements made vs. fees actually collected — surprisingly often tracked loosely until a dedicated tool forces visibility.

Metrics That Look Useful But Often Aren't

• Raw call/email activity counts: easy to game, weakly correlated with placements without quality context.
• Total candidates in database: a stale, oversized database is a cost center, not an asset, without active engagement data attached.

What to Check in a Tool

Confirm the platform can segment by recruiter, by client, and by role type simultaneously — a tool that only reports aggregate agency-wide numbers won't help you diagnose where a specific bottleneck actually is.
