RPO is a service model, not just a software category. Here's what it actually entails and when it makes more sense than building internally.
RPO (Recruitment Process Outsourcing) is a service model where an external provider manages some or all of your recruiting process — from sourcing through to offer, operating as an extension of your team rather than a separate agency placing candidates for fees.
A staffing agency charges a placement fee per hire and works across multiple clients simultaneously. An RPO provider embeds more deeply — often using your systems and branding, with dedicated recruiters assigned to your account — and typically prices on a per-hire, retainer, or management-fee model, not a percentage of salary. The employer relationship is more collaborative and longer-term.
Confirm exactly what "embedded" means in practice — some RPO providers operate genuinely embedded within your processes and systems, others maintain a separate workflow that just feeds candidates into your ATS. The former is usually better for candidate experience and data consistency.
